Assigning members and guests to tasks

Assign tasks in Tallyfy at three points - when building a template, during process launch, or while it’s already running.

Assign tasks in a template

Set default assignees in your template:

  1. Click the step you want to assign.
  2. Go to the Assign tab.
  3. Pick the default assignee - a specific member, a group, a guest email, or a job title.
  4. Leave it unassigned by choosing no assignee (see “Assign launcher automatically” below).

These defaults apply every time someone launches the process. You can change them at launch.

Assign tasks when launching a process

Modify assignments during launch:

  1. After clicking Launch Process, look for Review & Edit before final confirmation.
  2. Click tasks on the review screen and change who’s assigned for this instance.
  3. Remove all assignees to leave a task unassigned for this run.

Assign or reassign tasks in a running process

Change assignments in a running process:

  1. Open the running process and find the task.
  2. Click the menu icon (…) on the task card and choose Edit task.
  3. Add or remove assignees.
  4. Click Save Changes.

Unassigned tasks (“nobody assigned”)

Tasks with no assignees show a generic icon and “Nobody Assigned” label. Find them using the “Assigned to nobody” filter in the Tasks view. Anyone with permission can claim them or assign them to others.

”Assign launcher automatically” setting

This per-step setting controls what happens when no assignees are configured:

  • If ON (default): The person who launches the process gets auto-assigned to any step that has no members, groups, or guests assigned.
  • If OFF: Steps with no assignees stay as “Nobody Assigned” after launch.

If any assignee is already set - whether a member, group, or guest - this setting has no effect on that step.

Restrict task completion and editing

Control who can complete or edit tasks:

  1. When editing the template, click the task step.
  2. Go to the Settings tab.
  3. Turn on “Only assigned members can complete or edit this task”.

Tallyfy lets you assign template steps to specific members or groups or job titles or guests through the Assign tab and also supports unassigned steps with dynamic automation rules that route tasks based on form answers or conditions like dollar amounts or priority levels.

Tallyfy lets you assign tasks to individual members or groups within your organization and to external guests via email and supports dynamic reassignment through automation rules based on form field values or step completion status.

Guests > Assign tasks to guests

Tallyfy lets you assign tasks to external guests by entering their email address in a template or running process and the guest receives a secure link to complete their work without needing an account or password while at least one internal member is always co-assigned for oversight and comment routing.

Tallyfy’s advanced task options in template steps let you control behaviors like auto-launching linked processes and requiring all assignees to sign off and restricting who can complete tasks and firing webhooks to external systems and managing guest permissions and tagging steps for filtering.
