Billing overview

Go to Settings > Billing to manage your subscription, payment methods, and invoices. Tallyfy uses Recurly as its billing partner with a credit-based system.

The Billing section covers:

  • Plan overview - current plan and usage
  • Payment management - update cards and billing addresses
  • Invoice history - past invoices and payment records
  • Credit management - monitor and manage billing credits

Credit system

Tallyfy billing credits work as a pre-paid balance:

  • Credits are used before your payment card is charged
  • You only pay for active members - billing starts when they accept their invite or sign in
  • Removing a member or downgrading mid-cycle returns pro-rated credits for unused time
  • Credits expire after 5 years and aren’t refundable
  • You can buy credits via bank transfer (contact support for details)

Billing notifications

By default, you’ll get billing emails instantly when changes happen (like adding a new member). Contact support to switch to daily billing notifications - one summary email instead of instant updates.

What happens if my payment fails?

If Tallyfy can’t process your payment:

  1. Immediate notification - billing emails alert you with instructions to update your payment method.

  2. Grace period (Days 1-7) - your account keeps working normally. Update your card in Settings > Billing > Edit Payment Card.

  3. Read-only mode (Days 7-14) - you can still log in and view/export all data, but can’t create or launch processes.

  4. Suspension (Days 14-30) - access suspended. Contact support to resolve.

  5. Data deletion (After 30 days) - Tallyfy reserves the right to delete your data with notice.

Act quickly on payment failures

Update your payment information right away to avoid service disruption.

After account deletion

  • 90-day backup retention - recovery may be possible during this period
  • Permanent deletion - after 90 days, all data is irreversibly removed

Account and member limits

Your plan sets limits for:

  • Maximum Full members
  • Maximum Light members
  • File storage space

Special pricing programs

Coupon codes

To use a discount coupon:

  1. Go to Settings > Billing.
  2. Click Update Plan (or a similar subscription button).
  3. Enter the code in the “Have a coupon?” field during checkout.

Fair Price Guarantee

Tallyfy offers discounts for organizations in eligible countries.

Eligibility requirements:

  • Most of your users must be in an eligible country
  • You must be on an annual plan

To apply:

  1. Review the Fair Price Guarantee page for requirements.
  2. Submit the application form from that page.
  3. If approved, you’ll get a discount coupon code.

Billing > Manage billing

Administrators can manage their Tallyfy subscription and payment details through Settings > Billing where they can view plans and credit balances and update payment cards and apply coupon codes and change billing contacts through support and handle cancellations with a 30-day data export window after termination.

Tallyfy offers transparent and predictable pricing with annual and monthly billing options along with two member tiers (Full and Light) to control costs and includes a credit-based billing system through Recurly plus a Fair Price Guarantee for eligible countries and nonprofit discounts and a free plan option.

Org Settings > Member statuses

Every Tallyfy organization member has one of four statuses—Active (billable and can use the platform) Invited (pending acceptance and not billed) Deactivated (removed and not billed) or Bot/Unbilled (integration or system accounts not billed)—and administrators manage these statuses along with task reassignment and deletion safeguards through the organization settings.

Tallyfy offers Full Members who can create and edit templates and Light Members who can only complete assigned tasks while guests from outside your organization get unlimited free access to specific tasks and the 14-day trial allows up to 10 members and 10 concurrent processes.
