Acknowledgement of changes

Create a one-off task in Tallyfy, link it to your template, and assign it to your team - everyone gets their own acknowledgement to complete. This works for both document templates and procedure templates.

Requirements

You’ll need:

Requesting bulk acknowledgement

  1. Create a one-off task Go to + Create in the main Tallyfy menu and pick Task.

  2. Name your task Use a clear name like “Acknowledge updated WFH Policy” or “Confirm review of new QA Procedure.”

  3. Link the task to your template Under the task description, find Link this task to. Click Choose, then Template. Search for your document template or procedure template and select it. Assignees can then see exactly what they’re acknowledging.

  4. Assign the task Click Assign to and choose who needs to acknowledge. Pick specific members, entire groups, or select “Everyone” for the whole organization.

  5. Require completion from all assignees This step matters. In the task settings, find All assignees must complete this task2 and set it to Yes. Without this, the task completes when just one person finishes. With it, every assignee must check in individually.

  6. Set a deadline Add a Deadline - this is a required field when creating a one-off task.

  7. Create the task Click Create Task. Everyone gets notified, and the task appears in their Tasks view.

The “all assignees must complete” setting

When you assign a task to 50 people with this option on, all 50 must mark their individual task as complete before Tallyfy considers it done.

  • Each person gets their own instance of the task - they can’t complete it for someone else
  • Progress is tracked in real-time
  • Ideal for compliance audits, safety procedures, and policy updates where you need confirmation from everyone

For more on task settings, see the advanced task options guide.

Tasks > Advanced tab

Tallyfy’s advanced task options in template steps let you control behaviors like auto-launching linked processes and requiring all assignees to sign off and restricting who can complete tasks and firing webhooks to external systems and managing guest permissions and tagging steps for filtering.

How To > Complex approval workflows

Tallyfy converts complex multi-level approval processes into visible and trackable workflows by using kick-off forms with validation and conditional logic to route tasks to the right approvers while providing real-time status tracking and automated reminders that eliminate bottlenecks and keep everything moving.

Tasks > Step types

Tallyfy offers process tasks (steps within templates that become active tasks when a process runs) and standalone one-off tasks across five types: standard tasks for general to-dos and approve/reject tasks for decisions and expiring tasks that auto-complete at their deadline and two email task types that either auto-send or let assignees review a draft before sending.

Documenting > Templates

Tallyfy templates are reusable process blueprints that you create once and launch repeatedly to assign tasks and track progress automatically while solving problems like inconsistent quality and lost knowledge through three types: procedure templates for multi-step workflows with conditional logic and document templates for reference materials and form templates for standalone data collection.

Footnotes

  1. Standard users can create, edit and complete tasks but cannot modify system settings

  2. Creates individual task instances for each assignee, tracked separately in the system
