Convert a member to a guest

How to change a member into a guest

Deactivate the member’s account first, then convert them to a guest. It’s a two-step process.

What you need

  • Administrator permissions
  • The person must be an active member in your Tallyfy organization

Step 1: Deactivate the member account

You can’t convert an active member directly - deactivate their account first.

  1. Go to Settings > Organization > Members.
  2. Click the name of the member you want to change.
  3. Scroll down and click Deactivate Account. Organization member removal action menu feature
  4. Tallyfy asks what to do with their incomplete tasks. Two options:
    • Reassign tasks - transfer their work to other team members
    • Deactivate without reassigning - keep tasks unassigned (you can reassign later)

Step 2: Change the deactivated account to guest

Now convert them:

  1. Return to Settings > Organization > Members.
  2. Find the deactivated person - they’ll show as “Disabled”.
  3. Click Convert to guest next to their name.

That’s it.

What happens after conversion

The change takes effect immediately:

  • Their account switches from member to guest status
  • They lose dashboard access - no more logging into Tallyfy directly
  • They can only work on tasks through guest links sent by email
  • You free up a paid member seat

Administrators in Tallyfy can instantly remove a member by deactivating their account under Settings > Organization > Members and then choosing to either reassign that person’s open tasks to other team members or leave them unassigned for later handling.

Guests > Assigning guests

Tallyfy lets you assign workflow tasks to external guests like clients and vendors via secure email links without requiring accounts or paid seats and provides tools to track their progress and convert them to full members when needed.

Org Settings > Member statuses

Every Tallyfy organization member has one of four statuses—Active (billable and can use the platform) Invited (pending acceptance and not billed) Deactivated (removed and not billed) or Bot/Unbilled (integration or system accounts not billed)—and administrators manage these statuses along with task reassignment and deletion safeguards through the organization settings.

Tallyfy requires admins to deactivate a member before deleting them and prompts reassignment of all pending tasks and template steps to another active member during removal while also protecting against accidental deletion of the last admin or default administrator account.
