Re-open tasks as a guest

Re-opening completed guest tasks

Why guests can’t re-open their own tasks

Guests can only complete a task once - they can’t re-open it themselves. This keeps decisions final and prevents confusion in later steps.

If a guest needs to add information after submitting, they can:

  • Add comments to the completed task
  • Ask a member to re-open the task for them

What you need to re-open a guest task

  • You must be a member with Administrator or Standard permission
  • The guest task must already be completed

Steps to re-open a guest task

Only members can do this - not guests themselves:

  1. Go to the running process that contains the completed guest task.
  2. Click the completed task you want to re-open.
  3. Click the Re-Open button.
  4. Tallyfy handles the rest automatically:
    • Changes the task status back to active
    • Sends an email notifying the guest
    • Makes the task available for the guest to work on again

After re-opening a task, you might need to resend the link:

  1. Click the menu icon (three dots) on the task card.
  2. Choose Copy guest link.
  3. Send this link to the guest if they need it.

Where guests see re-opened tasks

Guests find all their assigned tasks - including re-opened ones - on their Guest Dashboard. They can also leave comments there.

Tasks > Complete or reopen tasks

Tallyfy lets you complete tasks by clicking a checkmark icon or hitting the Complete button and reopen them with a Re-Open button while also offering settings to restrict completion to assigned members only and enforcing checklist and required field rules before a task can be marked done.

Guests > Get a guest's unique link

Guest task links in Tallyfy let external people access and complete assigned tasks without logging in and you can find these links either from the task’s three-dot menu within a running process or from the guest list in Settings > Organization > Guests.

Guests > Assigning guests

Tallyfy lets you assign workflow tasks to external guests like clients and vendors via secure email links without requiring accounts or paid seats and provides tools to track their progress and convert them to full members when needed.

Guests > Assign tasks to guests

Tallyfy lets you assign tasks to external guests by entering their email address in a template or running process and the guest receives a secure link to complete their work without needing an account or password while at least one internal member is always co-assigned for oversight and comment routing.
